System Issues & Resolutions

1. Attack List / Call Queue Logic (C2 Workflow)

Issue: Leads marked as "Not Contacted" were not re-entering the call queue (Attack List) as expected.

Root Cause: Workflow C2 was in draft mode, which prevented it from firing the necessary tag removal that would re-queue leads.

Resolution:

  • Workflow C2 has been activated.
  • 27 leads affected by this issue will be manually re-queued by Navar (per Austin's instruction).

2. Wave Dialer — Live Answer Marked as Voicemail

Issue: An intermittent bug in the Wave dialer occasionally marks a live answer as "Voicemail," causing the lead to be missed.

Normal Behavior: "Not Contacted" and "Voicemail" dispositions in the Wave dialer function as intended under normal conditions.

Action: Austin will monitor for recurrence. If the bug is observed again, he will submit a support ticket and include a call recording for investigation.

3. Conflicting Button Clicks Causing Stage Errors

Issue: Clicking multiple status buttons in rapid succession (e.g., Offer Made immediately followed by Wants Retail) can cause conflicts and incorrect stage assignments.

Best Practice: Always wait for the "Moved to [Stage]" confirmation notification to appear before clicking any additional buttons. Do not click a new stage button until the previous action has been confirmed.


Workflow & List Management

Manual Text Replies — Finding Them in the System

Issue: Manually sent text replies do not appear in the default "Drip Replies" list, making them easy to miss.

Solution: Create a smart list filtered by Last Outbound Message Type is Manual to surface these conversations.

Action Taken: Connor created and shared two new views:

  • Inbound Seller Texts – Manual
  • Inbound Buyer Texts

These views ensure manual reply threads are visible and actionable for the team.


Follow-Up Disposition Strategy

The following dispositions should be used based on the lead's level of intent and whether a clear follow-up timeline exists:

Appointment for Offer

  • Use when: The lead has a clear timeline and is ready to move forward.
  • What it does: Books a calendar event and triggers an automated reminder drip sequence.
  • Best practice: Always prefer this option over "Not Ready" when any specific follow-up date exists.

When to Follow Up

  • Use when: The lead has lower intent but a general timeframe for follow-up.
  • What it does:
    • If the lead is assigned: Creates a task for the lead's owner.
    • If the lead is unassigned: Adds the lead to the Revival List for team review.

Not Ready

  • Use when: The lead has no timeline whatsoever and no actionable follow-up date can be established.
  • Important: This should be used as a last resort only. If any timeline exists — even a vague one — use Appointment for Offer or When to Follow Up instead.

New Features & Development Updates

New "Transactions" Dashboard

A new Transactions dashboard has been built to provide a high-level, real-time view of deals requiring action. This is intended to streamline team disposition meetings.

Key Metrics Displayed:

  • Waiting on Photos
  • Needs Marketed
  • Needs Listed
  • Needs Assigned
  • Needs Extended

Logic Behind Key Metrics:

  • Needs Assigned: Displays deals where the inspection period is expiring next week — these need to be assigned to a buyer promptly.
  • Needs Extended: Displays deals expiring this week or those with a past close date — these require immediate attention for an extension or resolution.

Form Elimination Initiative (Developer: Sebastian)

A new developer, Sebastian, has joined the team with a primary focus on eliminating manual forms from the workflow and replacing them with seamless in-app pop-ups.

Development Priorities:

  1. Priority 1 — One-Click Dispo (shipping the following day): Allows users to complete disposition actions with a single click, removing the need for a separate form.
  2. Priority 2 — Deal Handoff Forms: Replacing the manual forms used during deal stage transitions (e.g., AssignedPushing to Closing) with in-app pop-ups for a faster, smoother experience.

Action Items & Next Steps

GenieREI Support Team (NoSheen)

  • Adjust Marvin's drip campaign schedule to Tuesday / Thursday / Saturday, 9 AM – 7 PM.
  • Create a smart list for Marvin's 15-day disposition process (as an alternative to a pipeline stage change).
  • Schedule a follow-up meeting with Marvin.
  • Add the following items to the development backlog:
    • Build smart lists for manual buyer text replies.
    • Build a Dispo "Attack List" that incorporates Wave dialer dispositions.
    • Separate the Appointment Booked workflow to allow individual users to make edits without affecting the core flow.
    • Refine the When to Follow Up workflow to check lead assignment status at the end of the workflow (rather than the beginning) for more accurate task/Revival List routing.

Austin

  • Instruct Navar to manually re-process the 27 leads affected by the C2 workflow draft-mode issue.
  • Monitor the Wave dialer for the "live answer marked as voicemail" bug. If it recurs, submit a support ticket and attach a call recording.

  • Update the C6 workflow's wait timer from 10 days to 20 days.
