This session covered several active system issues and workflow clarifications, including persistent "line busy" errors in the GHL dialer, lead ownership and visibility gaps affecting the Dispositions team, and a misunderstood appointment claiming process that was causing unintended lead visibility between team members. Additional updates on the Revival List, Occupant Contacts, and Offer Acceptance were also discussed.
Key Takeaways
- GHL Dialer "Line Busy" Errors: The GHL computer-based dialer is producing frequent "line busy" errors for Navarre, significantly reducing talk time. The GHL mobile app connects successfully to the same leads, confirming this is a computer-specific issue, not a network or lead quality problem.
- Lead Ownership Post-Contract: When a deal moves to "Under Contract," contact ownership is not automatically reassigned from the closer to the Dispositions team ("Dispo Dan"), creating a visibility bottleneck.
- Appointment Claiming Process: Closers must manually remove other followers from a lead to take exclusive ownership after claiming an appointment. This step was not widely understood and was causing unintended cross-visibility between team members.
- Revival List Fix Pending: A fix is awaiting Connor's approval to prevent Revival List leads from incorrectly moving to the Attack List after a "not contacted" disposition.
- Missed Call Workflow Updated: A new automated "Missed Call" workflow now assigns missed calls to MayCloud (team lead) and adds all closers as followers, replacing the old manual view.
Issue 1: GHL Dialer "Line Busy" Errors
Problem
Since switching from Wave Dialer to the GHL dialer, Navarre's talk time dropped to approximately 20 minutes per 80 dials. The primary cause identified is persistent "line busy" errors when dialing from a computer. In contrast, Jameer continues to achieve 3+ hours of talk time per day using Wave Dialer on the same leads, confirming the leads themselves are valid and reachable.
Diagnosis Summary
- Network Test: Passed on both Austin's and Navarre's computers — a general network issue was ruled out.
- App vs. Computer: Calls that fail on the GHL desktop dialer connect successfully through the GHL mobile app, confirming the issue is isolated to the computer-based dialer.
- Example — Karen: 7 "line busy" attempts from the computer; 1 successful connection via the GHL mobile app.
- Example — Lolita Robinson: Jameer spoke with this lead for 5 minutes on Wave Dialer, but the same lead was unreachable via the GHL computer dialer.
Next Steps for This Issue
- Navarre: Compile a list of 20 or more leads that have experienced the "line busy" error for further investigation.
- Nosheen: Share the network test URL with Navarre and continue investigating the root cause of the computer-based dialer failure.
Workaround: Use the GHL mobile app to dial leads that are returning "line busy" errors on the computer until a permanent fix is identified.
Issue 2: Lead Ownership & Visibility
Pre-Contract: Missed Call Assignment
Previously, missed calls were assigned only to the admin, making them invisible to the sales team. This has been resolved with a new automated workflow:
- Missed calls are now automatically assigned to MayCloud (the team lead).
- All closers are automatically added as followers, giving the full team visibility.
- The old missed call view is now obsolete. Team members should rely on the new automated workflow for missed call visibility.
Post-Contract: Dispositions Team Visibility Gap
When a deal moves to the "Under Contract" stage, the contact's ownership remains with the closer (e.g., Navarre) rather than being transferred to the Dispositions team ("Dispo Dan"). Because the Dispo team can only see opportunities they own or follow, this creates a bottleneck where they cannot access contacts they need to work.
Proposed Solution
- A backend change will be implemented to automatically reassign contact ownership to "Dispo Dan" when a deal is marked "Under Contract."
- Relevant Dispo team members will also be automatically added as followers on the contact.
Status: Pending backend implementation.
Issue 3: Appointment Claiming & Follower Logic
Problem
Jameer (lead manager) was remaining as a follower on leads after Navarre (closer) had claimed them, giving Jameer unintended ongoing visibility into those leads. This was traced back to a manual step in the "Appointment for Offer" workflow that was not clearly understood by the team.
How the Appointment Claiming Process Works
- Booking: Jameer books an appointment for MayCloud (team lead). This action automatically adds all closers as followers on the lead, making it visible to the entire closing team.
- Claiming: When a closer (e.g., Navarre) calls the appointment and decides to take ownership, they must manually remove all other followers from the lead. This is the required step to claim exclusive ownership. If this step is skipped, all original followers — including Jameer — retain visibility.
- Releasing (Auto-Reassignment): If the closer does not update the lead within a set period (approximately 7 days), the system automatically reassigns the lead back to MayCloud and restores all followers. This ensures no lead is left dormant without team-wide visibility.
Action Item
- Austin: Will create a Loom video documenting the desired lead ownership and appointment claiming logic to share with Nosheen and the backend team for a permanent workflow fix.
- Nosheen: Will investigate the backend logic for the "Appointment for Offer" workflow based on Austin's Loom documentation.
Important Reminder for Closers: When you call and claim an appointment, you must manually remove all other followers from the lead contact to take exclusive ownership. Failing to do so will leave other team members with visibility into your lead.
Additional System Updates
Revival List — Attack List Crossover Bug
A known issue causes Revival List leads to incorrectly move to the Attack List after receiving a "not contacted" disposition. A fix has been developed and is currently pending Connor's approval. Nosheen will follow up with Connor to move this forward.
Occupant Contacts
Occupant contacts can only be linked to existing seller properties already in the system. You cannot create a standalone occupant contact without a corresponding seller property record.
Offer Acceptance — Required Manual Step
When finalizing an accepted offer, there is a required manual step that is easy to overlook:
- Navigate to the property record.
- Go to the "Offers Made" tab.
- Toggle the "Accepted Offer" switch to mark the offer as finalized.
This toggle must be manually activated — it does not update automatically. Skipping this step will leave the offer in an incomplete state in the system.
