Mastering Lead Statuses for Effective Follow-Up

This video explains every lead status in the system, what each one does, and when to use it.

The Golden Rule: Hit Not Contacted every single time a lead doesn't answer — whether it's your 1st or 3rd dial on a triple dial attempt.


Status Colors:

Purple

  • Not Contacted — lead didn't answer. Use this every time.

Green — moves the lead forward in the pipeline and keeps it in your name after you claim it

  • Needs Offer — sends your underwriter a text to run the numbers
  • Appointment Booked — press this after booking an appointment for offer
  • Offer Made — click the second that number leaves your mouth — gives you KPI credit
  • Send Contract — triggers a text with a form link, drafts the contract automatically
  • Under Contract — triggers a form link to fill out deal info for your transactions team

Yellow — moves lead to the cloud and makes it visible to everyone again

  • Offer Rejected — exception: keeps the lead in your name for 7 days. If nothing happens in 7 days it goes to the cloud
  • All other yellow statuses release to the cloud immediately

Red — use very sparingly, kills the lead and removes it from all automations

  • Already Sold — only if confirmed on PropStream or assessor, and only after checking if they have another property
  • Wrong Number — only after they've told you it's the wrong number at least 3 times
  • Dead Deal — only if it would never be a deal for any reason. In your first 30 days, don't hit this without approval

Other Controls:

  • Claim Lead — locks the lead to you, nobody else can see it
  • Release Lead — sends it back to the pool for anyone to work
  • Assign To — use this if Claim Lead isn't working, find your name and hit Save
  • Clear SMS — use in Drip Replies after handling a response to remove it from the list
  • General Follow-Up — use when someone says call me back in X months. Always cut the requested time in half (they say 6 months, set it for 3)
