How the Smart Lists Are Filtered (And How to Recreate Them)

Each smart list uses specific filters that run automatically in the background. If you ever need to recreate a list from scratch, here's exactly how each one is set up.


To create or recreate any smart list: Go to Contacts → Smart Lists → click the + button → name it → go to Advanced Filters → add each filter using the settings below → Save.


My Leads All of these filters are AND conditions (every one must be true):

  • Owner is not Mae Cloud
  • Lead Status is not Under Contract
  • Tag is "seller"
  • Lead Status is 
  • not Dead Deal
  • Lead Status is not Wrong Number
  • Lead Status is not Sold On Market
  • Lead Status is not Sold Off Market
  • Why these filters exist: This list is meant to show only active, workable leads. Filtering out Mae Cloud means you're only seeing leads someone has claimed. Filtering out Under Contract and lost statuses keeps the list clean and focused.


    Attack List

    • Call System is "Call 1 (Attack List)"
  • Why this filter exists: The Attack List is entirely driven by which call system a lead is enrolled in, not by who owns the lead. If a lead isn't showing up here, check whether it's enrolled in Call 1 on the contact record.


    Revival List

    • Call System is "Call 2 (Revival List)"
  • Why this filter exists: Same logic as the Attack List — it's about call system enrollment, not assignment. If a lead is missing from the Revival List, it's not in Call 2.


    Drip Responses All of these are AND conditions:

    • Tag is any of: "responded to drip" 
    • OR "2| responded"
    • Lead Status is not Under Contract
    • Lead Status is not Sold Off Market
    • Lead Status is not Sold On Market
    • Lead Status is not Wrong Number
    • Lead Status is not Dead Deal
    • Why these filters exist: Keeps the list focused on active leads who have engaged with drip messages. Closed-out leads (sold, wrong number, dead) are filtered out to keep the list clean.


      Missed Calls

      • Call System is "Call 3 (Missed Inbound Call)"

    • Buyer Sonar This one uses OR logic — either condition qualifies the contact:

      • Opportunity pipeline is "8) Buyers" AND Stage is "Unqualified – Needs Qualified"
      • OR Opportunity pipeline is "8) Buyers" AND Stage is "Undefined – Needs Reviewed"
    • Why these filters exist: These are the two stages a buyer lands in after responding positively to your outreach. They haven't been qualified yet — but they raised their hand.


      Who Should Have Access to Each List
